Document Specialist - Civil Engineering

A well-established infrastructure consulting firm is seeking a Document Management Coordinator to support a high-visibility redevelopment initiative. This is a key role within a fast-paced engineering and construction environment, responsible for maintaining quality documentation systems and ensuring secure, accurate, and timely handling of project records. The Document Management Coordinator will serve as the central point of contact for all documentation within civil engineering and construction projects, ensuring that all files are tracked, organized, and maintained according to project and agency standards. This person will work directly with cross-functional teams to provide seamless document control support using advanced document control software.

Focus:

  • Manage the intake and distribution of documentation including project submittals, technical responses, correspondence, and controlled records using proprietary platforms.
  • Maintain and monitor document lifecycle workflows to ensure compliance with agency and contract-specific requirements.
  • Facilitate advancement of documents through internal workflows and approval processes.
  • Respond to documentation requests and distribute approved content to stakeholders promptly.
  • Conduct quality control and assurance checks on document versions, formatting, and approvals.
  • Collaborate with project managers, engineering teams, and administrative staff to ensure timely submissions and audits.
  • Support development and implementation of documentation policies and best practices.
  • Coordinate document storage, archiving, and retrieval protocols to meet audit-readiness standards.
  • Proactively identify areas for process improvement and assist with change control initiatives.

Skill Set:

  • Associate degree in Business Administration, Engineering Technology, or related field.
  • 2+ years of experience in document control, preferably within construction, engineering, or public infrastructure projects.
  • Strong proficiency in document management software (experience with eBuilder or similar platforms highly preferred).
  • Advanced Microsoft Office skills, particularly in Word, Excel, and PowerPoint.
  • Familiarity with records retention policies and regulatory standards in public infrastructure environments.
  • Exceptional organizational skills with a strong attention to detail.
  • Strong verbal and written communication skills.
  • Capable of multitasking and managing deadlines in a fast-paced, team-oriented environment.

Preferred Qualifications

  • Experience with multi-million-dollar project documentation or agency-regulated civil engineering projects.
  • Understanding of technical terminology related to construction and engineering drawings.
  • Background working with confidential or compliance-regulated documents.
